Scheduling Management :
Scheduling management is used to set up configuration regarding shifts, various shift cutoffs, auto SMS, and email.
Manage Shifts:
Site Administrator -> Scheduling Management-> Manage Shift
Create a shift:
To create a shift Go to Manage Shift-> Click on Add New Shift
It will open up “Add new shift” window, fill the fields as per requirement
Shift Type: Select login/logout from drop down
Login: Shift start time or specific time the employee should be in the office premise
Logout: Shift ending time or specific time employee expected to leaves the office premise
Time of the day: Enter shift time
Avg. Speed: Enter the estimated average speed of the vehicle during the shift with consideration of traffic also
This is used to calculate the travel time for employees to and from the office.
The recommended speed for peak hours (heavy traffic) is between 20-25 kmph
The recommended speed for non-peak hours (light traffic) is between 40-45 kmph
Avg. Waiting Time: Enter cab waiting time for employee pickup
Recommended waiting time is between 2-3 mins
Pick Up: Select type of pickup/drop ( Nodal/Home)
Female Constraint: Rule defined if there is a female passenger traveling to enable deployment of a guard/escort
Female constraint is a safety protocol enabling feature that ensures the deployment of a guard/escort for female passengers during pickups and drops.
Guard Deployment options:
First/Last Female during pickup/Drop respectively
Second/Second-Last Female during pickup/Drop respectively
Any Female
Disable
Gender: Select the gender visibility for the trip
Male/Female
Office: If there are multiple office locations for a particular shift, one or multiple locations can be chosen from the dropdown
Important! -Shift once created can’t be deleted.
Edit a shift
Click on ‘Edit’ option showing against each shift :
It will open the “Edit Shift” window.
Avg. Speed: Edit the estimated average speed of the vehicle during the shift with consideration of traffic also
Avg. Waiting Time: Edit cab waiting time for employee pickup
Pick Up: Edit the pickup/drop ( Nodal/Home)
Female Constraint: Make changes to the existing female constraint
Gender: Edit the gender visibility for the trip
Office: Edit the office locations selected
Note- You can’t Edit Shift Type and Time of the day field.
View the history of manage shifts :
Click on the History link to view the history, It will show the history of shift creation/edition date time, and by whom.
Manage Shift Category:
Site admin can configure various cutoffs for employees and their SPOCs to scheduling, canceling, Ad Hoc requests, No show under this feature. He can define categories for employees of the same team and associate the category with the team and configure various cutoffs for them.
Create a new shift category: ‘Add Category:
Click on Manage shift category under scheduling management, click on add category
It will open the ‘Add New shift category’ window, enter the name of the category and click on apply and a new shift category is created.
Remove a Shift Category:
To remove a shift category, click on the remove link against the category name.
If the category is not associated with any team it will display a confirmation box after clicking on the ‘OK’ , the category will be deleted from the manage categories list.
If the category is associated with one or more teams, an error message will pop up reminding to change the shift categories for the associated teams before deleting the shift category.
Configure cut-offs for a shift category:
To configure the cutoff for a shift category, select the shift category by clicking on the name of the shift category. The admin can select the shift type, shift time, and Cutoff Type for the selected category.
Site admin can configure different cutoffs for employees and their SPOC/Team Managers.can also configure different cutoffs for each different shift time and different cutoffs types.
There are four types of cutoffs which site admin can configure for employees and SPOCs
Schedule Edit Cut-off: It defines the number of hours before an employee or SPOC can edit the schedule
Schedule AdHoc Cut-off: It defines the number of hours before an employee or SPOC can edit a schedule even after Schedule Edit Cut-off passed
Schedule Cancel Cut-off: It defines the number of hours before shift end time, after which an employee or SPOC will not be allowed to cancel the schedule
Schedule No show Cut-off: It defines the number of hours before shift end time, after which an employee will be marked no-show on schedule cancellation(Note-
After selecting the Shift Category, select Shift Type (Login/Logout) from the dropdown, then select Shift Time and Cut-off Type from the dropdown.
