Overview

The Merge Booking feature allows admins to combine two or more existing bookings into a single consolidated booking. This helps optimize fleet utilization, reduce redundant trips, and manage transportation costs—without compromising the employee experience.

Merging is a manual decision made by the admin team and should consider:

  • Feasibility of combining bookings

  • Employee pickup/drop proximity

  • Trip timing compatibility

  • Cost efficiency and vehicle usage


Key Highlights

  • Merged bookings result in one new booking, replacing the original bookings.

  • Previously approved or non-approval-required bookings can be merged.

  • Merged bookings do not require re-approval.

  • Any existing vendor or cab allocation is removed and must be reassigned.

  • Merged bookings are tagged with an “M” blue icon next to the Booking ID.

  • new email notification is sent upon creation of the merged booking.


Steps to Merge Bookings

1. Select Bookings

  • Navigate to the booking dashboard.

  • Use checkboxes to select two or more bookings eligible for merging.

2. Initiate Merge

  • Click the Options button.

  • Select Merge from the dropdown menu.

3. Merge Settings

  • Review the selected bookings.

  • Redefine the following parameters if required:

    • Booking Type

    • Billing Type

    • Cab Type

4. Itinerary Setup

  • Redefine the trip itinerary.

  • Set pickup and drop actions for each rider.

5. Review & Submit

  • Review the merged booking summary.

  • Submit to create the new consolidated booking.


Post-Merge Behavior

Approval

Merged booking will not go through approval again.

Eligibility

Only bookings that are already approved or don’t require approval can be merged.

Vendor/Cab

Existing vendor/cab assignments are removed. Reassignment is required.

Old Bookings

Original bookings are automatically cancelled.

Identification

Merged bookings display an "M" icon in blue beside the Booking ID.

Communication

new booking email event is triggered for the merged booking.


Merge Suggestions Feature

Overview

The Merge Suggestions feature helps admins identify bookings that are potentially eligible for merging, based on pre-configured business rules. This reduces manual effort and supports efficient fleet planning.

How It Works

Merge suggestions are automatically generated for bookings that meet specific criteria, mainly where the pickup city is the same. Suggested bookings can then be merged using the same process outlined above.


Configurable Parameters

Maximum allowed time difference between pickups (e.g., 30 minutes).

bufferDistanceInMeters

Maximum allowed distance between rider pickup points (e.g., 1000 meters = 1 km).

allowedMaxTripRiderCount

Maximum number of riders allowed in a merged booking.

maxBookingsInMergeCombination

Maximum number of bookings that can be combined into one.


Using Merge Suggestions Dashboard

  • Booking Type

  • City

Steps to Use

  1. Open the Merge Suggestions dashboard from the admin panel.

  2. Apply filters to refine results.

  3. Review suggested combinations based on system logic.

  4. Proceed with the Merge action (same as manual merging steps).


Best Practices

  • Use Merge Suggestions to proactively identify opportunities for efficient travel planning.

  • Always validate pickup/drop feasibility before merging.

  • Reassign vendor and cab promptly after merging to avoid delays.

  • Regularly review Merge Suggestions to prevent missed opportunities.
